Referral Details For GPs

After completing your Mental Health Care Plan and Referral letter,

If there are issues of risk to self or others, please state that the referral is URGENT
so your patient is placed on our waiting list and offered an earlier appointment.

Your GP feedback is sent to you after your patients' sixth session. 
However, you will be advised earler if if there are further tests that are needed
to rule out other conditions, and if there are any medication or risk issues. 

We will also inform you if your patient cannot be contacted,
when they have attended their first appointment,
and when they have been discharged from our service.





Information for People Using Our Service


What to bring to your first appointment:
  • Please fill out the New Patient Registration Form and Consent To Treatment Form located on a clipboard in the reception area.
  • Bring along any previous psychological or medical reports
  • Your Medicare Card
  • Your Concession/Pension/Student Card
  • For Medicare Rebates and Bulk Billing, we require a copy of your Mental Health Care Plan & Referral Letter to MHC
  • For VOCAT claims, please bring along your claim number and details of what you have been awarded.  If you haven't lodged a claim, we can assist you with this.
  • For TAC claims, please bring your claim details and a letter stating psychological sessions have been approved.
  • For WorkCover claims, we require your claim details  and evidence that psychological sessions have been approved.

What to expect at your first appointment:
Your psychologist normally runs on time unless some unforeseen circumstance or emergency has occurred.  During your first session, your psychologist will ask you questions about your history, your symptoms, your difficulties etc., to try to gain an understanding of you and your situation and how you got to where you are today.  It is important to be as honest as possible during this process, even though it can be hard disclosing things about your past or your habits.  It will help your psychologist to understand and treat you more effectively, you will not be judged in any way.  From here, your psychologist will discuss with you, your best options for treatment and ways to manage your symptoms.  You will both discuss some goals to help direct your future treatment.  Your psychologist may give you some handouts to complete as homework at the end of this session.  You are encouraged to ask questions throughout treatment and to provide feedback to your psychologist on how you are feeling about the therapy process or approaches used.  We want you to be an active participant in your therapy and it is ok to provide feedback if you feel you are not getting what you need from it.  This is how we tailor therapy to your individual needs.

Requests for Letters & Reports:
It is appreciated if you could advise your psychologist as soon as possible if you require a report or letter, as they will need to make sure they have all the necessary information for it.  Reports and letters generally require 10-15 working days to complete and do incur additional costs (approximately $130 per page, including GST).  When completing a report it is unethical for your Psychologist to leave out pertinent information that is relevant to your situation and symptoms.  If you have any concerns or anticipate that you will require evidence of your attendance, feel free to discuss this with your psychologist.  Reports and letters are not released to you or a third party without full payment having been made.

Cancellation Policy:
48 hours notice is needed to reschedule your appointment, so that someone else in need has the opportunity to come in.  If less than 48 hours notice is given, a fee of $85 (plus GST) is charged. If less than 24 hours notice is given, or you fail to attend your appointment, you will be charged the full cost of the consultation.  Medicare and most third party payers will not pay for sessions you do not attend.  We understand paying a cancellation fee can be difficult sometimes, and we don't want it to interfere with your treatment, so we do offer a payment plan if your attendance was unavoidable (e.g. through illness, injury or accident).  Claiming you didn't receive a text message is not an acceptable excuse for missing an appointment and fees will still apply.  If you fail to attend 2 sessions without notice, we are within our rights to refuse all future treatment until fees are paid.

SMS Appointment Reminders:
Our diary system sends out SMS confirmations 72 hours (3 days) prior to your appointment.  We have  two-way messaging enabled on our appointment reminders. You will need to confirm you will be attending by replying YES or NO to the SMS. If you do not reply and we haven't been able to make contact with you, we expect you are still coming in (it does not cancel your appointment). Cancellation fees do apply to all bookings when less than 48 hours notice is given or if you fail to arrive at your appointment. If you need to reschedule your appointment please call or text 0435 025 393 during business hours. We want to be able to offer your appointment to someone on our waiting list if you can't make it in.
Our SMS service is a courtesy only and should not be relied solely upon to remind you of your appointment.  Computers and programs do have a tenancy to not work as expected. ALWAYS write down your next appointment in a diary or on a calendar and get a business card with these details at the end of your session.  It may also be helpful to set an alarm in your phone.

Privacy & Confidentiality:
Your psychologist needs to collect and record your personal information, test results, session notes and observations as part of the treatment process. This information is scanned and uploaded to our locked diary management software and is only accessible by your treating psychologist and MHC reception staff. Your doctor does not have access to your private notes, billing, attendance and our system is totally independent to that used by medical centre staff.   You can obtain access to your client file, subject to the exceptions in the Australian Privacy Principles.  Please note that this process may take up to 30 days and will incur a cost. Your personal and health information, will remain confidential, except when this information has been subpoenaed by a Court, if your treating psychologist (and/or clinic staff) believe that you are at risk of harming yourself or others, or when you have given prior written or verbal consent to release your personal information (e.g., for use in a report or to other agencies involved in your care).  As part of obtaining a rebate for your sessions from Medicare Australia, we are required to inform you GP when you attend your first and last session.  In order for you to obtain rebates for your last 4 sessions, we are also required to provide a brief feedback summary to your GP after your sixth session This details things like any diagnoses, the name of tests conducted, the type of treatment used, your attendance and engagement in treatment, your progress and whether further treatment is needed). This is very general in nature and does not go into depth about the issues discussed in therapy.  There are, however, times when your personal information may need to be shared/obtained from your treating GP or Medical Centre for billing and administration purposes and you will have signed to give us permission on your Consent to Treatment Form.

Bulk-Billed Individual Sessions & Mental Health Care Plans: (MHCPs)
Having a MHCP prepared by your GP allows you to access Medicare Rebates for up to 10 individual sessions per calendar year.  Your doctor will nominate a certain number of sessions to begin with (usually 6 sessions) and you will need to return to them for review to access the remaining sessions.  Some doctors like you to book a double appointment with them to get your MHCP done.   In order to access bulk-billed psychological services, we require a current MHCP AND a referral letter addressed to the Mental Health Clinic, stating the number of sessions required.

If you have a MHCP in place already, we require a new referral letter addressed to us.  With your consent, we can communicate with your GP (or their medical centre staff) to obtain a copy of your MHCP prior to your appointment.  You will, however, need to attend your doctors to get a new referral letter addressed to us.   It is also a good idea to call medicare (13 20 11) before your consultation to find out how many sessions you have available for the remainder of the year.  If you have exceeded your 10 individual sessions for the year, you will be required to pay for your individual consultation as a private patient  (see rates below).  There are no out-of-pocket costs for our 55 minute individual consultations for people with a current Mental Health Care Plan and Referral Letter.  However, please read our cancellation policy below, as we do charge you if you do not give us 48 hours notice of any changes to your appointment.  We are very strict with our cancellation policy, as it is the only way we can afford to continue offering bulk-billed psychological services to the community.

MHCP Groups:
With your MHCP, you are also entitled to 10 group sessions per calendar year.  If you run out of your individual sessions before the end of the year and still require support, you may like to join one of our bulk-billed groups until your individual sessions renew on the 1st January.  We will need a separate referral letter from your GP to access our support groups and a minimum of 6 people to run a group.  Our capacity to run groups depends largely on the availability of a suitable venue.

Private Clients:
No referral is needed, just call 0435 025 393 and book your appointment.  The cost of a standard 55 minute consultation is between $125 (concession) and up to $170 (full-rate) depending on your circumstances. We prefer credit/debit card or electronic bank transactions, as we do not carry facilities for providing change.   If you have adequate private health insurance cover, you may be able to claim a rebate from your private health insurance provider with your receipt.   Please take note of our cancellation policy above.

WorkCover & TAC Clients
For WorkCover and TAC clients, a referral letter from your treating GP stating that psychological injury has occurred from a road or workplace incident, along with the date of injury, is required.  It is recommended that your GP also provide you with a MHCP if you need to come in urgently, and we will switch you over to WorkCover or TAC when your sessions are fully approved.  These agencies can decline claims, so it is important to make sure that:  1) you have made a claim and,  2) that the request for psychological treatment has been approved.   Please take note of our cancellation policy above.

Victims of Crime Clients (VOCAT)
For those who have been the victim of a violent crime in the last 12 months, Julie-Anne is happy to work with you through the process of making your claim and getting your sessions approved.  It is useful to have a MHCP in place to begin with while your paperwork is being prepared for VOCAT.  Please take note of our cancellation policy above.

Employee Assistance Program:
If your employer has agreed, we can invoice them directly for the cost of your consultations.  No information is given to your employer without your consent.  An attendance certificate can be provided if needed.  You can also receive treatment under a Mental Health Care Plan, which you will need to organise with your GP (see requirements above).  

Supervision of Probationary Psychologists & Other Allied Professionals:
Julie-Anne is an AHPRA Psychology Board of Australia registered Supervisor for 4+2 and 5+1 probationary psychologists. She is available as a Primary or Secondary Supervisor.  Fees are $160 per session (excl. GST).  Skype is also available as an option at the reduced rate of $150 (excl. GST).  Group supervision can be arranged if 2 or more professionals wish to attend together, fee will depend on the number of people in attendance (minimum costs would be $75 each for 2 people, less if more people in attendance).  Please  note that we are not in a position to offer internships or placements at MHC.
